WORKED EXAMPLE

Unit B-04 · leaking tap

The tenant identifies Unit B-04 and the maintenance need.

Check before proceeding

Work and charges need the authority recorded for this specific unit.

Follow the whole journey, or select an individual stage.

Selected step / 01: Identify unit and requester. Responsible role: Property administrator. Next responsible role: Tenant liaison.

01

A practical starting scope.

Start with maintenance requests for one property. Agree unit identifiers, assignment rules, approval thresholds and what evidence confirms completion.

02

Connect the records you already use.

Assess accounting exports, authorized tenant records, document references and contractor schedules. Contract dates and billing rules need a validated source.

03

Define the delivery responsibilities.

Legal interpretation of agreements, payment collection services and emergency building response are separate responsibilities, with service coverage agreed explicitly.

Custom project scope and availability are assessed individually. Standardized sector products are planned, not generally released. Migration, hosting, support coverage and acceptance checks are agreed before delivery.

Discovery questions

What we need to understand.

  1. How many properties and units are involved?
  2. Who approves repairs and tenant-related charges?
  3. Which contract and accounting records remain authoritative?
  4. What is the escalation path for unresolved requests?
